Minutes of the Meeting of the Hurstpierpoint Village Centre Trustees held on Thursday 28 November 2024 at 9.20pm, at Hurstpierpoint Village Centre (Charity No 305265).

- Apologies for Absence: The Trustees received and accepted apologies for absence from Claire Majsai and Duncan Ranger.
2. Previous Minutes: The Trustees agreed the minutes of the annual general meeting held on 25 July 2024.
3. Village Centre Budget Monitoring 2024/25: The Trustees reviewed and assessed the Village Centre’s financial position at the seven month stage. It was agreed that cleaning costs would be monitored closely.
4. Fees and Charges Review for 2025/26: The Trustees reviewed the briefing note setting out the schedule of annual charges for 1 April 2025 to 31 March 2026. The Trustees agreed Recommendations 1 and 2 for adoption and noted Recommendation 3 regarding the management fee re-charge required further work between both parties, and would be considered again at the 27 February 2025 meeting.
6. Budget Setting 2025/26: The Trustees reviewed and assessed the budget requirements for 2025/26. It was agreed to amend the Parish Council office hire fee and it was noted the management fee re-charge required further work. Trustees suggested grants may be available to pay for some of the planned maintenance items such as new fire doors and water saving devices for the urinals, to help reduce expenditure. It was agreed the budget would be re-considered on 27 February 2025 for formal adoption.
7. Inventory: The Trustees noted the inventory for the Village Centre.
8. CAF Bank Account: The Trustees agreed that the Assistant Clerk (AC2) be added to the CAF Bank Account to process on-line payments.
9. Gas Supply Contract: The Trustees considered renewing the gas supply contract for the Village Centre from 1 June 2025 onwards now, to take advantage of lower costs that could rise before the renewal date. After much consideration Trustees agreed to enter into a new supply contract with Crown now, for 12 months from 1 June 2025. This will secure a reduction of 19% on current costs but Trustees noted prices may of course fall further before then too.
10. Date of Next Meeting: The Trustees agreed the date of the next meeting as 27 February 2025 to follow the conclusion of the Parish Council meeting which starts at 7.30pm.
