Members are summoned to attend the Community Engagement Committee meeting to be held on Thursday 14th November 2024 at 7.30pm at Sayers Common Village Hall. Members of the public have a right to and are invited to attend the meeting.

AGENDA

1.        Apologies for Absence: To receive and accept apologies for absence.

2.        Declarations of interest: To receive and record any declarations of interest.

3.        Minutes of the Previous Meeting of the Community Engagement Committee: To receive and adopt the minutes of the 12September 2024 Community Engagement Committee meeting.

4.        Adjournment for Questions from the Public: To consider adjourning the meeting to receive questions from members of the public in accordance with Standing Orders.

5.        Review of Action Plan: To agree and update Version 3 of the 2024/2025 Action Plan

6          Budget Monitoring:          

6.1.     To review the Budget Monitoring Report for the Committee including:

a) The Nominal Ledger (year to Date)

b) Detailed Income & Expenditure at 31st October 2024.

6.2.     Suggested Draft Budget for 2025/26: To review and assess the Committee’s budget requirements for 2025/26 to support the aims of the Community Engagement Action Plan and the Council’s Sustainability Strategy and submit the detail to the Finance, Governance & Estates Committee. 

RECOMMENDATION: The committee AGREE to present the Draft Community Engagement budget to the Finance & Governance Committee on 5th December 2024.

7.        Parish Council Grant Applications:

7.1.     New Small Grant Applications to be considered 2024/25: To consider grant applications:

7.2.    Community Events Grant Applications to be considered 2024/25 To consider grant application:           

            Grant Budget 2024/25: £4000, Budget Remaining £33

            No direct Community Events Grant Applications received.  Committee is asked to consider using the remaining funds to cover the £30.60 Club Suite hire fee to run a drop in first aid workshop, as per the request from WSFB previously circulated to committee via email.  The original date for the event was due to be 14 November but has been delayed, new date to be fixed.

7.3.     Health & Wellbeing Grants Budget 2024/25 £1,000 Budget remaining £1,000: To consider grant application.

8.        Information Items, Correspondence Received and Requests:

8.1.     High Street Update: To receive averbal update from Cllr Bedford and Cllr Thompson.

8.2.     Reeds Lane Recreation Ground Phase 2: To review the briefing note on progress, timescales and proposals for phase 2.

8.3.     Sayers Common Christmas Tree:  To review the briefing note regarding the request for an illuminated “tree.”

            RECOMMENDATION:

  • The committee DOES NOT AGREE to the installation of a tree at this time for the reasons outlined in the briefing note.

8.4.     Hurstpierpoint Wassail 2025: To receive notes from meeting on 25.10.2024 and agree budget for 2025 event.

8.5.     External Communication: To receive a verbal update on communication from Cllr Majsai.
