Members are summoned to attend the Community Engagement Committee Meeting to be held on Thursday 16th June 2022 at 7.30pm in the Conference room in the Village Centre. Members of the public have a right to and are invited to attend the meeting.

AGENDA

1. Apologies for Absence and Declarations of interest: To receive and accept apologies for absence and to receive and record any declarations of interest.

2. To elect the Vice-Chair of the Community Engagement Committee for the following year:  To receive nominations and elect a Vice-Chair of the Committee for the following year.

3. Minutes of the Previous Meeting of the Community Engagement Committee: To receive and adopt the minutes of the 10th March 2022 Community Engagement meeting.

4. Adjournment for Questions from the Public: To consider adjourning the meeting, to receive questions from members of the public in accordance with Standing Orders.

5.2 Hurst Festival Grant Application: The committee is asked to discuss the Hurst Festival Grant application for the Super Sunday Event.

RECOMMENDATION: The committee AGREE to award the £2,500 grant to the Hurst Festival for the Super Sunday Event from the budget code: 301-5630.

6. Community Initiatives and projects:

6.1 Budget Monitoring: To receive the budget monitoring report for the Committee.

6.2 Tourism & Attractiveness budget code: The committee is asked to discuss the briefing note outlining committed funds from the Tourism & Attractiveness budget code in 2022/23.

6.3 Review of Action Plan: The committee is asked to review V3 of the action plan which contains updates as discussed in the Community Engagement meeting held on the 10th March 2022.

Recommendation: The committee AGREE to adopt V3 of the Community Engagement Action Plan.

6.4 High Street Update: A verbal update will be brought by Cllr Bedford and Cllr Ranger.

6.5 ‘Big Jubilee Picnic Lunch’ in Hurstpierpoint: The Jubilee Big Picnic was held on Sunday 5th June at South Avenue Recreation Ground. Cllr Bedford will bring a verbal update on how this event went.

6.6 St Lawrence Fair: The St Lawrence Fair is being held on 2nd July and the Parish Council have committed to one pitch. The pitch will need to be manned by Councillors including set up and take down. The committee is asked to discuss the event outlined in the briefing note.

Recommendation: (1) The committee are asked to AGREE a budget for purchasing a cuddly toy. (2) The committee are asked to AGREE whether the game would be free of charge or whether there will be a small fee, e.g., 50p to pick a name. 

6.7 Annual Parish Meeting: The Annual Parish Meeting was held on the 17th May at Court Bushes Community Hub and 85 people attended including a variety of local groups and speakers. The feedback from the event has been very positive. The committee is asked to discuss the event including any changes to be considered for next year.

6.8 Mid Sussex District Council Mid Sussex Applauds: For the last two years the Parish Council have nominated a person/group to be put forward for the Mid Sussex Applauds award. The committee are asked to discuss whether there is a person/group that they feel would be suitable for an award. Nominations can be put forward between 1st June – 19th September 22.  If there isn’t a recommendation then the committee are asked whether a post should be put on Facebook asking the community to suggest a person/group to nominate.

6.9 Engagement with residents: The committee is asked to discuss our engagement with residents and way to improve this for the future.

7. Publicity: The Committee is asked to note the following:

7.1 Communication: The links built through groups who attended the Annual Parish Meeting has opened new channels of communication and sharing opportunities. The Hurst Life continues to be a well-received article. Discussions have taken place on how we engage with Sayers Commonmore including information sharing with the Community Shop and sharing posts on their Facebook page.

7.2 Website: The website was updated to ensure it was ready for the audit held on the 4th May 2022 including a new page being added called ‘Council Policies’ under the About drop down. The Parish Office continue to regularly add events and news items to the announcement page which is then shared on our Facebook page.

7.3 Social Media: The Facebook page continues to grow and is regularly used by the Parish Office. The page currently has 764 followers.  Facebook ads were used to advertise the Annual Parish Meeting.

8. Information Items, Correspondence Received and Requests: An annual report has been received from the Monday Group which includes accounts for 2021 and feedback on activities.
