Members are summoned to attend the Community Engagement Committee meeting to be held on Thursday 9th November 2023 at 7.30pm at Sayers Common Village Hall. Members of the public have a right to and are invited to attend the meeting.

AGENDA

1.         Apologies for Absence: To receive and accept apologies for absence.

2.        Declarations of interest: To receive and record any declarations of interest.

3.         Minutes of the Previous Meeting of the Community Engagement Committee: To receive and adopt the minutes of the 14th September 2023 Community Engagement Committee meeting.

4.         Adjournment for Questions from the Public: To consider adjourning the meeting to receive questions from members of the public in accordance with Standing Orders.

5.         Review of Action Plan: To agree and update Version 3 of the 2023/2024 Action Plan

6          Budget Monitoring:          

6.1.     To review the budget monitoring report for the Committee including:

a) The Nominal Ledger (year to Date)

b) Detailed Income & Expenditure at 31st October 2023.

6.2.     Draft Budget for 2024/25: To review and assess the Committee’s budget requirements for 2024/25 to support the aims of the Community Engagement Action Plan and the Council’s Sustainability Strategy (6.2i) and submit the detail to the Finance, Governance & Estates Committee. 

RECOMMENDATION: The committee AGREE to present the Draft Community Engagement budget to the Finance & Governance Committee on 23rd November.

7.         Parish Council Grant Applications:

7.1.     New Small Grant Applications to be considered 2023/24: To consider grant applications:

7.4.     Health & Wellbeing Projects Budget 2023/2024 £1000 Budget remaining £965.60:

             There were no applications for new projects received.

8.         Information Items, Correspondence Received and Requests:

8.1.     High Street Update: To receive averbal update from Cllr Bedford and Cllr Ranger.

8.2.     Hurstpierpoint and Sayers Common Community Forum 2nd November: To note the new date set for the Community Forum of 18th January 2024 due to cancellation because of bad weather warning.

8.3.     Hurstpierpoint Wassailing: To discuss plans for a Wassailing event on 13th January.  Approximate cost £150-£200 (£100 for the workshop teaching the songs and leading the event, 36.80 for hire of the Village Centre Main Hall, photocopying/printing of music, plus teas/coffees/biscuits for the singing workshop).

8.4.     External Communication: To receive a verbal update from the communications meeting held on 8th November. 

Protocol for filming and recording at public meetings:  The Council has a protocol for public filming, recording and photography at its meetings, which is available on the Council’s website or on request at the Parish Office.
